Accounts Support

Your role will include:

  • Inputting supplier invoices for all Group companies into the appropriate Xero entity within one week of them being received

  • Ensuring all invoices are authorised by the appropriate person within Timbuktu in a timely manner

  • Entering supplier invoices against the relevant bookings

  • Accurately maintaining the ‘To Pay’ database that tracks invoices due to be paid in the coming 1-2 weeks and advises the Company’s directors which invoices are due for payment and when

  • Following the weekly payment run, updating Xero to record which invoices have been paid and send out PoPs to suppliers as requested

  • Reconcile all returning trips to ensure accurate recording of receipts from guests and payments made to suppliers; following up any discrepancies with sales consultants to ensure completed trips are fully paid for

  • Review overdue balances on upcoming bookings and liaise with sales consultants to ensure that guest payments are made in a timely manner

  • Update our Feefo reviews 

  • Process referral gift cards to our guests (including ordering cards)

  • Assist sales support team with quote building (as required and as time permits)

Who you might be:

  • Ability to work accurately and efficiently, meeting agreed deadlines 

  • Good communicator:

    • with colleagues such as Travel Specialists, Sales Support team, Accounts

    • With line managers (day to day and general queries, accounting related and work prioritisation)

    • With trading partners, particularly ground handlers (acknowledge emails promptly even if there may be a delay in addressing a specific query)

  •  Willingness to learn, particularly the key software applications relevant to the role (Hawk (internal platform), Xero, Excel, Hubspot) - constantly looking for improvements to business processes to improve speed and accuracy; discuss ideas with line managers and accounts team 

  • Work well as an individual and in a team environment

  • You have an amazing attention to detail

  • You are passionate about working with people

  • You have the ability to think quickly on your feet
